A working reference for your team: what still needs real copy, how a payment moves from invoice to receipt, and how to make routine edits yourselves — no developer required.

Getting into the admin

The login page is intentionally not at the usual WordPress address — that's a deliberate anti-bot measure, not a mistake.

Log in at albertazone.ca/team-access/ with the staff account you were given. Once in, the left-hand menu is trimmed down to exactly what you'll use day to day: Pages, Media, Payment Requests, Plugins, Users, Site Settings. If you ever need the full WordPress menu (rare), there's a Show Full Menu link in the top toolbar.

Worth doing soon

Two-factor authentication isn't enforced yet on staff accounts. Given this system handles patient payment details, we'd recommend installing the free Two Factor plugin and having each admin/editor set it up under their own Profile page — the site is already wired to require it the moment it's installed.

How a payment moves end to end

From the moment your team creates an invoice to the moment the patient's receipt lands in their inbox.

Staff creates a Payment Request

Invoice number, amount, a plain description, and a due date. The system generates a one-time secure link for that specific invoice.

Patient gets an email

A branded email with the amount and a "Pay now" button, sent automatically the moment the request is created.

Patient pays on a secure page

Card details are entered directly into Moneris's payment form — they never pass through or get stored on Alberta Zone's own servers.

Everyone gets confirmation

The patient receives an automatic receipt by email; your staff (whoever is listed in Site Settings) get a separate notification; the Payment Request itself flips to "Paid" with the transaction details logged.

Two things worth knowing

Payment links expire for security — if one lapses before the patient pays, open that Payment Request and use Reissue payment link, no need to recreate the invoice. And Sandbox Mode (visible on every Payment Request) lets staff rehearse the whole flow without moving real money — make sure it's switched off before sending a real invoice.

Creating a payment request

The everyday task: billing a patient.

Payment Requests → Add Payment Request

Fill in the customer's name and email, an invoice/reference number, and a plain-language description — this is shown to the patient, so keep it free of service-type or immigration-status detail.

Set the amount, due date, and expiration

Amount is entered as a normal dollar figure (e.g. 425.00). Internal Notes is a staff-only field — the patient never sees it.

Confirm Sandbox Mode is off, then Publish

Publishing sends the email automatically. The one-time payment link also appears in the Payment Status box on the right, if you ever need to copy and send it yourself.

Editing an existing page

Home, About, FAQ — every brochure page is built the same way, section by section.

Open Pages, click the page you want to change, and scroll to Page Content Builder. The page is a stack of sections — a hero banner, a text block, a photo, and so on — shown top to bottom in the order they appear on the live page. Click a section's title bar to expand it, edit the fields inside (heading, body text, image), and click Update in the top right when you're done. Nothing goes live until you click Update.

Use the arrow buttons on each section to reorder it, or Expand All / Collapse All at the top of the builder when you're scanning a long page.

Adding a brand-new page

Same builder, starting from a blank page.

Pages → Add Page. Give it a title, then use + Add Section to start stacking components. There are nine to choose from:

Big intro banner — heading, subheading, optional background photo and button.

Text Block

A heading with rich, formatted text. The simplest section.

Side-by-Side Content

An image next to a block of text, image on the left or right.

Full-Width Image

An edge-to-edge banner photo with an optional caption and link.

Feature / Definition Grid

2–4 short cards side by side — used for the patient-category definitions on Home.

FAQ Accordion

A list of questions that expand to reveal their answers.

Staff / Contact List

The team directory shown on the Contact page.

CTA Banner

A colored band pointing to another page — the "View FAQ" / "Start Intake Form" banners.

Callout

An info or warning box, like "Payment Links Expire" on the payment info page.

HTML Import

For pasting a trusted embed from elsewhere — this is how the Patient Intake Form got onto the site.

Per-page SEO

The panel on the right of every page (Add Page or Edit Page) lets you override that page's search-result title, its description, and its social-share image — or hide it from search engines entirely with one toggle.

Site Settings, tab by tab

Sitewide configuration lives in one place: Site Settings in the left menu.

Branding. Swap the header logo, footer logo, or browser-tab favicon — leave any of them blank to keep the current default.

Legal Pagesrarely touched

Tells the site which actual WordPress page is the Privacy Policy, Cookie Policy, and Consent to Electronic Communications notice. Only relevant if one of those pages ever gets renamed or replaced.

Cookie Consentrarely touched

Turns the cookie banner on or off, sets its wording, and holds a "policy version" date — bump that date any time the cookie policy changes materially, and every visitor gets re-prompted for consent, even ones who already answered.
